Any reference to ‘We’, ‘Us’ and ‘Our’ is to Piia Laakso Massage Therapy. Any reference to ‘You’ and ‘Your’ is to you as an individual user of our websites and applications. This notice explains when and why we collect personal information about you and how we use it, how we keep it secure and how we dispose of it. It also describes your rights in relation to your personal data. We may change this notice from time to time and without prior notice to you. We need to do this to reflect our data protection practises. We tell you at the top of this notice when it was most recently updated. Our Promise to you
We will never pass on your personal details to anyone outside Piia Laakso Massage Therapy for them to use for their own marketing purposes. We will make sure our contact with you is relevant. You can change your mind about contact at any time by contacting us at piiamassage@gmail.com, or telephone on 07809 708 602. Your personal information will be stored safely and will remain secure at all times. No personal information will be kept any longer than necessary in order to fulfil the purpose it was collected for. In certain circumstances you can ask for the data we hold about you to be erased from our records. We will always comply with the General Data Protection Regulation 2018 (GDPR). Please let us know if your details change so that we can keep it up to date.
The information we collect about you
In order to book a treatment and for administrative purposes we will collect information about you. We will initially ask you for: Client name, email address, phone numbers. This data will be collected when you contact us to make a booking. In order to provide you with treatment we may require medical information. We will only collect what is relevant and necessary for your treatment. This will include: date of birth, address, reason for your visit, past medical history, and current health status and will be collected at clinic on arrival. This data will be collected through completing a consultation form (on paper) and will take place before you receive your first treatment. If you have liked/messaged us on Facebook/Instagram/WhatsApp, we will be aware of the existence of your profile and you will see updates from us. We don't do anything with this data, and simply make it available as a means for you to contact us to make an appointment. Please be aware of the respective privacy policies of Facebook, Instagram and WhatsApp, when communicating with us through this medium.
How your data is stored
Your name and relevant contact details will be stored electronically in our gmail account. To secure this account we use two-step password authorisation. We only use this to be able to contact you for treatment/booking related communications. Consultation forms and your case history records are not stored electronically - only on paper and are locked in a cabinet.
Data Retention
None of your personal information will be kept for any longer than is necessary in order to fulfil the purpose for which it was collected. You have the right to ask us to amend our records and in certain circumstances you can ask for the data we hold about you to be erased from our records. Your records will be kept for at least 7 years after your last treatment. After this time the information we have collected about you will be erased/shredded.
Your rights regarding your data
At any point while the Centre is in possession of, or processing your personal data, you have the following rights:
Right of access – you have the right to request a copy of the information we hold about you, within one month.
Right of rectification – you have a right to correct data that we hold about you that is inaccurate or incomplete.
Right to be forgotten – in certain circumstances you can ask for the data we hold about you to be erased from our records.
Right to restriction of processing – where certain conditions apply you have a right to restrict the processing.
Right of portability – you have the right to have the data we hold about you transferred to another organisation.
Right to object – you have the right to object to certain types of processing such as direct marketing.
Right to object to automated processing, including profiling – you also have the right not to be subject to the legal effects of automated processing or profiling.
You have the right to complain if you are unhappy about the handling of your data - in the first instance to us, and then to my professional body FHT (https://www.fht.org.uk) or if you are still unhappy, to the Information Commissioner’s Office (ICO) (https://ico.org.uk/concerns/) or 0303 123 1113
